Tips for Improving Your Data Entry Skills

Data entry is a broad field that focuses on entering and updating information in a database. Some jobs solely focus on data entry, while in others, data entry is just one component of the position. Either way, data entry requires strong software skills along with attention to detail, efficient verbal communication, and the ability to sort review, and correct data as needed.

If you’re interested in improving your data entry skills, classes are available both in-person and online. Alternatively, you can follow these simple tips at home.

Improve Your Typing

Typing is key to most data entry jobs. Make sure your posture, including hand positioning, is optimized for comfort. Then practice, practice, practice. You can find free or low-cost programs online to help you boost your typing speed and accuracy.

Fix Your Workspace

Few people have truly ergonomic workspaces. Yet poor ergonomics are linked with a long list of health problems. Choose a comfortable, height-adjustable chair with lumbar support. Place your monitor at eye level and reduce glare. Consider investing in an ergonomic keyboard and mouse, and make sure the two are reasonably close to each other. You may even want dual monitors to make fact-checking easier.

Memorize Shortcuts

Depending on which programs you’re working with, there are innumerable keyboard shortcuts to save time and energy. These are easy to find online for a wide variety of software.

Block Out Time

Data entry work is highly repetitive and requires intense concentration. To stay focused, split tasks into time blocks with short breaks in between. During each time block, silence your phone, turn off the TV, and keep your attention on your work. Then relax during each break, letting your mind wander.

Proofread

Mistakes are a part of life. If you have access to an editor, ask that person to review your work each day. If not, consider blocking out time each morning to proofread your work from the day before. This lets you look at it with fresh eyes when you are most likely to catch mistakes.
